Gmail Account Settings for MadgeTech 4

Configuring an email account in MadgeTech 4 serves several useful purposes. An outgoing email account can be used by MadgeTech 4 and MadgeTech 4 Secure to send email and text message alerts for alarms and workflows. MadgeTech 4 Secure also requires access to an email account in the creation of new users and to allow users and administrators to reset passwords.

To use a Gmail account to send outgoing emails from MadgeTech 4, the Gmail account must be configured to use Two-Factor Authentication, and an “App Password” must be generated in the Gmail account to be used in the MadgeTech 4 email settings.

To use a Gmail account for outgoing email in MadgeTech 4, navigate to File–>Options–>Email settings in MadgeTech 4 and enter the following settings:
Configuration type: SMTP
Server address: smtp.gmail.com
Port: 587
From email: Gmail address (ex: [email protected])
Security: Check “Use SSL/TLS” box
Username: Gmail address without the “@gmail” domain (ex: user)
Password: An “App Password” must first be generated in the Gmail account (see below).

It is recommended (but not required) that the following steps be performed on the PC running MadgeTech 4, to allow for easier cutting and pasting of the app password.

Enable Two-Factor Authentication for a Gmail Account :
(If two-factor authentication is already enabled, skip to the next section)
1. Open Gmail account in a Web browser.
2. Click on the Google user icon and select Manage your Google Account.
3. Select Security on the account management page.
4. In the How you sign into Google section, select Two Step Verification.
5. Click on Get Started.
6. If prompted, enter Gmail password.
7. Enter and/or verify phone number that will be used for authentication. Choose Text Message or Phone Call and click Next (or, if preferred, select one of the options listed in the “Show more options” dropdown).
8. Enter the code received from Google and click Next.
9. Click Turn On.

With Two-Factor Authentication enabled, Google will send a code to the entered phone number when a user attempts to log into the Gmail account. This code will be required to log in.

Generate an “App Password” in Gmail that can be used by MadgeTech 4:
(If continuing after enabling Two-Factor Authentication, skip to step 5)
1. Open Gmail Account in a Web browser.
2. Click on Google user icon and select Manage your Google Account.
3. Select Security on the account management page.
4. Ensure Two-Factor Authentication is enabled. If not, use above steps to enable Two-Factor Authentication.
5. Select Two Step Verification in the How you sign in to Google section.
6. Scroll to the bottom of the Two Step Verification page and click on the arrow next to App passwords.
7. In the Select the app and device you want to generate the app password for section, click on Select app and select Other (Custom Name).
8. The dropdown from step 7 will change to a text field; enter the desired name for the app password (for example, “MT4”).
9. Click the Generate button.
10. A window will appear that displays the app password.
11. Select the password, then use CTRL-C to copy, and CTRL-V to paste the password in the “Password” field in the MadgeTech 4 email settings.
12. In the App Passwords menu, click the back arrow next to the App Passwords header to return to the previous menu.

After completing the setup, click “Test Email Settings” in the MadgeTech 4 email settings menu, and enter an email address to generate a test email. A message should appear stating that “The test email was sent successfully,” and an email should be sent to the entered email address. If you receive an error, you will need to correct your email settings. It is then suggested to close and reopen the software, to ensure the settings save correctly.
